Using Breakout Rooms (Webex Webinars)

When running an event, sometimes you will want the option to be able to split people out into groups. This could be if you are running a workshop and you want to give groups different topics to discuss and report back to the larger group.

In order to do this, you’ll need to follow the following steps.

Once you have your Webinar open, you need to click the “More Options” icon:

Once you have done so, you will see another menu pop up.

This menu will have the option to “Enable Breakout Sessions”:

Once you have enabled the Breakout Sessions, you will have a new tab along the bottom of the Webinars window:

Clicking on this menu will create a pop-up that allows you to decide how many breakout sessions you need and how many attendees you need per session:

As soon as you have done so and you click “Create Assigments” the screen will change.

Here, you have a number of actions that you can take.

You can:

  • Move someone to a specific session.
  • Create additional sessions
  • Reset your work and start over
  • Start the breakout sessions once settings are addressed

In addition, there is a settings menu in the bottom left.

This menu allows you to specify a few more options. You can:

  • Change the number of attendees per session
  • Add a timer on to the sessions so that they close automatically once the appropriate time has elapsed
  • Set a countdown timer so that the sessions don’t immediately close after closing the breakout session.

Once the sessions are open, you can view the assignments again and remove people if necessary, but you can also broadcast a message across all of your sessions as needs be:

Attendees within the session will have the option to leave as they wish.
